This Customer Relation Management System is a combination of mailing management system, invoice and shipment control system, inventory and transaction control system. On one hand the system is a complete standalone solution on the other it can be integrated into a larger system. It is part of the Dohatec Publication Suite.
The first part keeps addresses and provides making lists of those addresses for user purposes by using customized queries. It supports users for printing different fixed and customized labels from the saved lists. Users can also generate various letters in MS WORD by using these lists by wizard. The inventory part maintains inventory of the publications and journals in different stores and supports various transactions among stores and other destinations. The invoice part generate invoices and proforma and control the shipments of those invoices. The following text will help to take a closer look of the system.
Module 1:- Mailing Management:
This part includes four sub-module-1) Data entry and data view: This is the data entry portion by which user can entry new data. Select data by key fields for browsing and editing as well. The advanced user can make complex query for browsing data. 2) Queries: This part is very user friendly query maker. User can select a group of mailing data for by his/her requirement. After making a list user may generate letter, print various labels. He/she can also save this group of addresses as a list for farther use. 3) List Manager: List manager deals with the previously saved lists. In list manager user can open a list, append a list to it and save the newly list as a separate or same list. One also has the option to add more addresses to list or remove addresses from list. 4) Base Files: This holds the base file for this module.
Module 2:- Invoice and Tracking Management:
Journal and Publications reside on different stores. Invoice are generated from the Headquarters. This module contains two options—one for "Proforma Invoice" and another for "Main invoice". Proforma Invoice can be converted to Main Invoice. The necessary addresses can be exported from mailing module for invoice part.
Module 3: Shipment and Mail Dispatch Management:
The items that are sold need to be shipped. This module maintains this by keeping track of items sold. Mail dispatch keeps the mailing history of each invoice.
Module 4: Inventory and Distribution Management:
This part consists of Item data, Transaction Management and Base Files as well. Item Data part keeps the inventory, i.e; the quantity of items in different stores, the print history and the trash history of items. The transaction part maintains four kind of transactions. 1) the monthly sales of stores except Head-Quarter, 2) the movement between stores, 3) the damaged items history and 4) free distribution history.
Module 5: Finance and Analysis:
The first four modules are the data modules of the database. Upon those information This module give a wide range of analysis reports, chart and browsing options for decision management.
Module 6: Report manager:
This module provides user to preview and print each and every necessary and frequently -used reports. And each report gives the user an option for selecting data for reports.
Module 7: System Management:
This module is for Manager level users who are responsible for security of the system. This module contains the user setup and controls option by which manager level add/remove database users and modify information for users also.
